A desktop accounting system rebuilt to run in a browser

A full double entry accounting and inventory platform built as a web application: POS, multi location stock, production, and sixteen financial reports.

The brief

Most small and mid sized trading businesses still run their accounts on desktop software installed on one machine in one office. It works until somebody needs the numbers from somewhere else, or a second location opens, or the machine fails.

The brief was to build the same capability as a serious desktop accounting package, with nothing to install, reachable from any browser, and without cutting the parts that make desktop software trusted: double entry underneath, a full audit trail, and real inventory control rather than a stock count.

Why this was not a small website

Accounting software has a property most web projects do not: it has to be correct. A marketing site with a rendering bug is untidy. A ledger with a rounding error is a legal problem for the business using it.

So the foundation is proper double entry rather than a list of transactions with a total at the bottom. Every voucher has two sides, the trial balance has to balance, and the profit and loss and balance sheet are produced from the same entries rather than assembled separately.

The second requirement was the audit trail. Every change is logged, which is the difference between software a business keeps its books in and software it keeps notes in.

Inventory was the harder half

Accounting is well defined. Inventory is where trading businesses actually differ from each other, and it is where most general purpose systems stop being useful.

This one handles stock across multiple locations, with transfers between them, so a business with a warehouse and two shops sees one picture rather than three.

It tracks batches and expiry dates, which anything dealing in food, medicine or chemicals needs and most simple systems ignore.

It tracks serial and IMEI numbers, so a business selling equipment or phones can follow an individual unit from purchase to sale to warranty claim.

And it handles production and assembly through a bill of materials, so a business that makes something out of other things it stocks can account for both sides correctly.

Built to be used all day

Software people use for an hour a month can be awkward. Software people use for eight hours a day cannot.

The quick sale screen is a point of sale, meant for someone standing at a counter with a queue, not a form with twelve fields.

Roles and granular permissions mean a counter operator, a storekeeper and an accountant each see the part of the system they work in and nothing else.

The whole thing runs in the browser and works on a phone, which is what removes the one machine in one office problem the project started from.
