What we do with your information.

Short, and specific to this site rather than copied from a template. If something here is not clear, ask and we will explain it in plain words.

What this covers

This explains what Account4Web Inc. does with personal information collected through account4web.ca. It is written to meet PIPEDA, the federal privacy law that applies to Canadian businesses.

If you only read this website and never fill anything in, the only information involved is the anonymous analytics described further down.

What we collect, and when

Nothing is collected until you send us something. There are three forms on this site and each one is clearly a form.

The contact form asks for your name, email address, and optionally your company, the service you are interested in, your timeline and your message.

The AI SEO order request asks for the same, plus a phone number and your current website address.

The onboarding questionnaire, which is only sent to people who have already asked for a plan, asks about your business, who controls your website and hosting, who approves content, and your billing details.

The free audit form asks for two things: a website address and an email address.

Why we collect it

To answer you. That is the whole reason. A name and an email address are the minimum needed to reply to an enquiry, and everything else exists so the reply is useful rather than a request for more information.

We do not sell it, rent it, or pass it to anyone for their own marketing.

Where it goes

Form submissions are sent by email to our own mailbox and a copy is sent to you. They travel through a small script on our own server and are not stored in any database there.

Once the email arrives, it lives in our mailbox, hosted with our own provider, and in our records if you become a client.

We do not use a third party marketing platform, so your details are not uploaded into anyone else's system.

How long we keep it

Enquiries that do not become projects are kept for two years, in case you come back and the history is useful, then deleted.

Client records are kept for seven years after the last invoice, because Canadian tax rules require business records to be retained for six years from the end of the tax year they relate to.

You can ask us to delete anything sooner and we will, unless a law requires us to keep it.

Analytics

This site uses Google Analytics 4 to count visits and see which pages people read. It records things like the pages viewed, roughly where in the world the visit came from, and what kind of device was used. It sets cookies in your browser to do that.

It is not used to identify you personally, and we never combine it with anything you send through a form.

You can block it with any browser setting or extension that blocks analytics, and the site will work exactly the same.

Email we send you

If you fill in a form, you get one confirmation email about that submission, and a reply from a person.

We do not add anybody to a mailing list from a form. If we ever start a newsletter it will be something you choose to join, and every message will carry a working way to leave it, as Canadian anti-spam law requires.

Your rights

You can ask what we hold about you, ask for a copy, ask us to correct it, or ask us to delete it. Email us and we will answer within thirty days, which is what PIPEDA requires.

If you are not satisfied with how we handle a request, you can complain to the Office of the Privacy Commissioner of Canada.

Security

The site is served over HTTPS. The form endpoint accepts submissions only from this website, limits how many one connection can send, and strips web addresses out of the copy it emails back, so it cannot be used to deliver a stranger's content to a stranger's inbox.

We do not ask for passwords through any form on this site. If we ever need a login for work we are doing, we send a private link for it and ask you to create a separate account rather than share your own.

Changes

If this changes in a way that matters, the date at the top of the page changes with it. There is no version buried in a footer that says something different.
